Department Printer Support
Printer Service
Black and White Laser Printing
The IT Helpdesk has “included support” - no labor charge to the department - for printing devices that are classified as standard workgroup printers from HP. Examples of this kind of printing devices are the HP LaserJet 4200, 4300, 2430, 4305, 3005.
Printers distributed through the Computer Replacement Program are repaired and serviced by this program - repair labor, parts, and maintenance kits are provided by the program for these printers. Toner and paper are funded by the department using the printer.
Department-Owned Printers
Printers owned by departments (non-program placed printers) are serviced by the IT Helpdesk, though repair parts, maintenance kits, and supplies are funded by the department. There are no labor charges if the printer is under warranty.
Color Laser and Inkjet Printers
IT Helpdesk provides fee-based support ($75 per hour) for Color-Laser and InkJet printing devices on campus. If we are unable to resolve the repair request we will recommend a vendor to repair the printer.
- There no setup fees for Color-Laser and Inkjet printing devices.
- The department that owns the printing device funds labor and parts.
- The department that owns the printing device funds service calls to diagnose problems.
- Fee-based support is billed out in half-hour increments.
Extended Warranty on New HP Printers
Departments purchasing an HP LaserJet and Color LaserJet Printers are strongly encouraged to purchase the extended warranty package from HP at the time of the Purchase. Printers that are out-of-warranty are subject to labor and part charges, and one repair often costs more than the warranty. The extended warranty option improves service response time from HP and expedites the repair process.
Host-based Printers
Please avoid purchasing host-based printers.
Host-based printers are excellent small workgroup printers suitable for Windows and limited Mac printing to include internet and typical office printing but NOT EPS file printing. EPS (encapsulate postscript) file printing includes many of the commonly used graphics programs like Adobe Photoshop and Illustrator. Since host-based printing has limited Mac printing we do not recommend them - the Color LaserJet series that utilize host-based printing are: 1500, 1600, 2600, 3500, 3550, 3600 series printers. (From HP’s website.)
Faxes and Scanners
The IT Helpdesk does not provide maintenance, repair, or life-cycle replacement for fax machines or scanners. We do provide assistance with existing or new FAX phone lines. Contact the IT Helpdesk for this.
